How to resign professionally

  1. Check your notice period in your contract and work out your last day.
  2. Tell your manager first, in person or on a call.
  3. Send the letter the same day so there is a written record of your notice and last day.
  4. Plan the handover: list your projects, document what only you know, and agree priorities for your final weeks.

What to leave out

A resignation letter goes into your employment file. Leave out complaints, comparisons with your new employer and anything you wouldn't want a future reference to read. If you want to give feedback, an exit interview is the place for it.

Frequently asked questions

What should a resignation letter include?

That you are resigning, your role, your last working day, a short thank-you, and an offer to help with the handover. A reason is optional.

Do I have to give a reason for resigning?

No. A short, positive letter without a reason is completely normal. If you do give one, keep it brief and neutral.

Should I tell my manager before sending the letter?

Yes, if you can. Tell your manager in person or on a call first, then send the letter the same day as the written record.

How much notice should I give?

Whatever your contract requires. Two weeks is customary in the US; one to three months is common in the UK, Europe and India. Use the notice period calculator to find your last day.
